Terms of service
Last updated 2026-11-07
These terms are an agreement between you (or the organisation you represent) and SysCost for the use of SysCost. By creating an account you accept them. If you accept on behalf of an organisation, you confirm you are authorised to do so.
1. The service
SysCost is a software service for tracking recurring business spend: subscriptions, renewals, payments, reminders, forecasts and related insights. We may improve and change the service over time; if we remove a material paid feature we will tell you in advance.
2. Accounts and workspaces
- Keep your credentials confidential; you are responsible for activity in your account.
- Workspace owners control who has access and with which role, and are responsible for their members’ use.
- Provide accurate information and keep your email address current so you receive security notices.
3. Acceptable use
- Do not use SysCost to break the law, infringe others’ rights, or send unsolicited messages.
- Do not probe, scan or test the vulnerability of the service except under our responsible-disclosure process, and do not disrupt it or bypass limits.
- Do not configure integrations to deliver to systems you are not authorised to use.
4. Your data
You own the data you put into SysCost. You grant us the rights needed to host, process and display it to provide the service, as described in the privacy policy. You can export it at any time and delete it whenever you want.
5. Plans, billing and cancellation
- The Free plan is free within its published limits. Paid plans are billed in advance, monthly or yearly, through our payment provider, and renew automatically until cancelled.
- You can cancel at any time in Billing; the paid plan stays active until the end of the current period and is not refunded pro rata unless the law requires it.
- If a payment fails we will retry and notify you; if it remains unpaid the workspace moves to the Free plan. Existing data is kept, but new items beyond Free limits cannot be added.
- Prices may change with at least 30 days’ notice before your next renewal. Taxes are added where applicable.
6. Third-party services
Reminders can be delivered through services you choose (for example Slack, Discord, Telegram, email or your own webhooks). Their terms govern your use of them, and we are not responsible for their availability.
7. Availability and support
We work to keep SysCost available and to deliver reminders on time, but the service is provided without a guaranteed uptime unless agreed in writing. Reminders support, but do not replace, your own financial controls.
8. Intellectual property
We own SysCost and its software, design and content. These terms do not transfer any of our intellectual property to you. Feedback you give us may be used without obligation.
9. Suspension and termination
You may stop using SysCost and delete your account at any time. We may suspend or terminate access for serious or repeated breaches of these terms, non-payment, or to comply with law, with notice where reasonable.
10. Disclaimers and liability
To the extent permitted by law, SysCost is provided “as is”, and we disclaim implied warranties of merchantability, fitness for a particular purpose and non-infringement.
To the extent permitted by law, neither party is liable for indirect or consequential losses, lost profits or lost data, and our total liability arising out of these terms is limited to the amounts you paid us in the twelve months before the claim. Nothing limits liability that cannot be limited by law.
11. Governing law
These terms are governed by the laws of the jurisdiction in which SysCost is established, and its courts have exclusive jurisdiction, without prejudice to mandatory consumer protections where you live.
12. Changes and contact
We may update these terms; material changes will be announced by email or in the app before they take effect. Questions: [email protected].
